What is a Fixed Asset Register?
A Fixed Asset Register (FAR) is the authoritative list of fixed assets owned/controlled by an organization. It contains asset identity, location, custodian, lifecycle status, cost and accounting references, and evidence required for audit and governance.
Core FAR fields (minimum)
Asset ID
Unique ID (tag ID / internal ID). Must never be reused.
Description
Asset name + model/type (standardized for reporting).
Category / Class
Asset class mapping for capitalization and governance.
Location
Site → building → floor → room (hierarchical).
Custodian / Department
Owner responsible for control and handover.
Serial / Make / Model
Critical for IT/equipment identification.
Status
Active, in repair, idle, transferred, disposed, missing.
Acquisition refs
PO/GRN/invoice details and acquisition date.
Cost & currency
Capex cost, currency, exchange refs if applicable.
Depreciation refs
Method, useful life, start date, ledger references (as applicable).
Best practices that prevent audit pain
Use one location hierarchy everywhere
Define a single location tree across finance and operations. Avoid free-text locations — enforce a controlled list.
Do not allow uncontrolled edits
Asset transfers, disposals, reclassifications, and cost changes should follow maker-checker approvals with audit logs.
Attach evidence as you go
Store photos, serial plates, invoices, and disposal evidence directly on the asset record. Don’t chase evidence during audits.
Reconcile regularly
Run reconciliation between FAR and finance (GL/AP) periodically, not only at year-end. Track exceptions and close them.
Run repeatable verification cycles
Annual audits are not enough for fast-moving asset environments. Run cycle counts or spot checks based on risk/value.
